President
The Key Club president presides over general operations. This includes creating an agenda for weekly meetings, talking with the Key Club adviser about the direction of the club and presenting available volunteer opportunities. On a monthly basis, the Key Club president must also preside over a board of directors meeting, verify that the other officers are keeping up with their duties and maintain contact with the high school administration. Additionally, presidents must work toward increasing the membership of the club and act as a role model for the rest of the club.
Vice President
The Key Club vice president functions as an assistant to the president. This includes running the meetings when the president cannot be present, gathering information for the weekly newsletter and actively campaigning to increase Key Club membership. Also, the vice president acts as a counselor to committees, attending committee meetings on a monthly basis and providing advice. For this reason, the vice president is a ex-officio member of all committees.
Secretary
Key Club secretarial duties involve managing Key Club records. The secretary keeps a copy of all the Key Club bylaws, guides, committee reports, club rosters and publications. On a weekly basis, the Key Club secretary composes club minutes. The secretary also writes monthly reports to the district (http://wiumkeyclub.com/e_mrf.html) by the 5th of every month. The secretary maintains an inventory of club property and is responsible for notifying the Key Club district and international offices about election results.
Treasurer
The Key club treasurer handles the club's money. Important duties for the treasurer include collecting membership dues, forwarding dues to the international office, filing forms with the Internal Revenue Service, reconciling statements and managing the annual budget. The treasurer must consult with the Kiwanis adviser on all money transactions.
Editor
A club editor is vital to a Key Club because he/she is responsible for all printed material the club receives. The editor is the advertiser, the communicator, and general publicity person of the club. This role requires time and knowledge on dates and happenings of district and International events, in addition to the current club projects and plans. The editor must be knowledgeable of the programs and structure of Key Club International. The role of club editor is that of a public relations officer. The editor makes sure the public is informed about the service Key Club renders. The club editor needs to work alongside the secretary to be an informed officer and to use the correct and necessary information for newsletters, fliers, bulletins, and publicity stunts. Club editors have the role of making Key Club known within the community and the school.
Class Representatives
To ensure that there is representation of all the members of the club on the board, and they should voice the opinions of the students in their class. They will also be expected to actively recruit members from their class.
Committee Chair (Fundraising)
Each committee within a club should have a committee chair. This person is in charge of seeing that the goals of the
committee are fulfilled as well as reporting to the club officers the happenings and progress of the committee.
Committee Chair Checklist
• Set standards for the committee. Establish goals, and have a plan of action.
• Assign duties for committee members. Make sure each member has a job on the committee so that your ideas and goals will
be carried out
• Hold committee meetings. Meetings should be held at least monthly. It’s imperative that your committee has updated
information on the progress of the committee.
• Give a report to your club officers. Keep your club’s board updated on the committee’s progress as well as new information
between reports.
• Pick up any slack. It’s sometimes hard to ensure that committee members do their job, so the chair has to be willing to step
in and pick up any slack that could potentially slow the committee’s progress.
· Frequent follow-ups on each committee member. Make sure each committee member is doing their part within the
committee.
